Heat Illness course privacy notice

This page explains what information Heat Illness Prevention uses to operate registration, identity controls, course progress, the final exam, certificates, and support.

Information we collect

The platform may collect account, purchase, legal-name, date-of-birth, DMV-customer-number or license-number, court-detail, identity-answer, course-progress, seat-time-activity, exam-result, certificate, and support-communication information.

If optional services are purchased, the platform may also use payment data, Stripe identifiers, and, when needed, postal-address information to fulfill the order.

How information is used

Student information is used to authenticate access, process purchases, verify identity, enforce course controls, issue certificates, respond to support requests, prevent fraud, and maintain operational and regulatory records.

Information may also be reviewed for audits, incident response, dispute defense, and compliance with the rules that apply to the course.

Sharing, retention, and security

Information may be shared with infrastructure providers, optional sign-in providers such as Google, payment processors, transactional email providers, support vendors, or compliance reviewers when needed to operate the course or satisfy a regulatory requirement.

Virginia requires certain completion records to be maintained for at least three years. Reasonable security measures are used, but no online system can promise absolute security or uninterrupted availability.

Social Security Number handling

We collect Social Security Numbers (SSNs) or the last four digits of an SSN only when required by state law or regulation for specific course types, such as Washington MAST server permits and certain Florida driver courses.

SSNs are encrypted in transit via TLS and are submitted directly to the applicable state agency as required by that agency's reporting process.

After successful submission to the state agency, SSN data is removed from our provider records. We do not retain SSNs beyond the submission window.

Access to SSN data before submission is limited to authorized staff with a direct operational need for the state-agency reporting process.
